How our full-service program works

1. Easy Engagement Process

Getting started with PWCS is straightforward. After you complete our inquiry form or contact us directly, we'll send you a simple onboarding form to collect essential details—firm information, billing contacts, HIPAA agreements, and authorization for us to coordinate with QMEs and AMEs on your behalf. 


Once submitted, we'll have you fully set up within two business days. You'll receive a welcome packet with clear instructions for case submission, and you're ready to start offloading your QME and AME administrative work. No training required, no complex systems to learn.

2. Send Us Your Case Details

You'll send a work order email to our dedicated intake address with case essentials: case name, ADJ number, injured body parts, deadlines, panel number (if issued), and special instructions. If an examiner is already chosen, simply provide their contact information. We'll respond with a secure, HIPAA-compliant Dropbox link for uploading medical records and documents. Once received, you get confirmation and the case appears on that month's invoice. 


From there, we handle everything—preparing panel requests for attorney submission, coordinating strikes, compiling records packets, managing all examiner scheduling and correspondence, and preparing cover letters under the handling attorney's signature. We provide status updates at every step and maintain proactive communication throughout. All handling follows strict HIPAA compliance protocols. 

3. Receive Your Client's Med-Legal Report

The examiner will send their report directly to the handling attorney with PWCS copied for coordination. Within five business days of report receipt, we deliver a comprehensive case closeout package that includes a synopsis of the medical findings for quick reference, a complete case timeline documenting every step of the process including all records sent to the examiner, and a detailed communication log with all correspondence, phone notes, appointment confirmations, scheduling changes, and the cover letter submitted. 


Everything is organized and ready to integrate into your case file, giving you full visibility into the administrative process without having to piece it together yourself. If a supplemental report is needed, we offer coordination services at a small additional cost to handle the follow-up process with the same level of thoroughness.
